BotIntelli — GDPR Requests User Guide

This guide explains GDPR Requests: how to create and process data export and deletion requests for users (for GDPR and privacy compliance).

What Are GDPR Requests?

GDPR Requests let you handle data subject requests: export (give the user a copy of their data) or delete (remove their data). You create a request for a user, and an authorized person processes it (e.g. mark completed or rejected). The list shows status: pending, processing, completed, rejected.

Where to Find It

Complete User Journey

Step 1: View Requests List

  • You see a table or list of GDPR requests. Each may show user (or user ID), request type (export / delete), status (pending, processing, completed, rejected), created date, and actions (Process, View details).

Step 2: Create a New Request

  • Click New request (or “Create GDPR request”).
  • Form:
    • User ID — The user (or member) this request is for. Enter their ID or select from a list, depending on the app.
    • Request typeExport (data portability) or Delete (right to erasure).
    • Details — Optional notes (e.g. ticket number, legal basis).
  • Submit. The request appears in the list with status pending.

Step 3: Process a Request

  • Open the request (or click Process).
  • Actions:
    • Approve / Complete — Fulfill the request (e.g. run export and send to the user, or run deletion). Then mark as completed.
    • Reject — If the request is invalid or not applicable, mark as rejected (optionally with a reason).
  • After processing, status updates to completed or rejected. For export, the user (or you) receives the data package per your process.

Step 4: Track Status

  • Use the list and status column to see which requests are pending, processing, completed, or rejected. Filter or sort if the UI supports it.
